PropertyVault is a UK app that helps people buy, rent and look after their homes. This policy explains what personal data we collect when you use the PropertyVault app and this website, why we collect it, who we share it with, and the rights you have over it. We are the data controller for this data under UK data protection law (the UK GDPR and the Data Protection Act 2018).
The short version. We collect what you put into your vault so we can show it back to you and help you with your move. We don't sell your data, we don't show you adverts, and we don't share your data with estate agents, lenders or anyone else for their marketing.
What we collect
- Account details — your email address, and the name you give us. We use your email to sign you in.
- Your household — the people you invite to share your vault, and anything you tell us about your household to tailor the app, such as the first names and birth month and year of children (used only to find nearby schools), your budget, deposit and income figures, and your mortgage details.
- Properties and places — properties you save, homes you own or rent, addresses you look up, and the places that matter to you (such as your work or a family member's home) so we can work out journey times.
- Things you add — notes, viewing checklists, photos, videos, documents and voice notes you add to your vault.
- Device and usage data — your device type, operating system and app version, push notification tokens, and crash and error reports.
- Purchases — if you buy a subscription, Apple or Google tell us that it is active. We never see your card details.
Permissions on your device
The app only asks for these when you use the feature that needs them, and you can turn each one off in your device settings.
- Location — checked once, while the app is open during a booked viewing, so we can offer to start the viewing when you arrive. We never track your location in the background.
- Camera and photos — to add photos and videos to a property.
- Microphone and speech recognition — to record voice notes. Transcription happens on your device.
- Face ID / fingerprint — to unlock your vault. Your biometric data stays on your device; we never receive it.
- Notifications — to remind you about viewings, tasks and changes to properties you're following.
Why we use it, and our legal basis
- To provide the app (performance of our contract with you) — storing your vault, sharing it with your household, working out journey times, finding schools and local information, and sending you the notifications you've asked for.
- To keep it working and secure (our legitimate interests) — diagnosing crashes and errors, preventing abuse, and keeping your account safe.
- To improve PropertyVault (our legitimate interests) — understanding which features are used, in aggregate.
- To meet legal obligations — for example keeping records of purchases for tax purposes.
Who we share it with
We use a small number of service providers to run PropertyVault. They process data only on our instructions and under contracts that require them to protect it.
- Microsoft Azure — hosts our servers and databases in the UK.
- Anthropic — provides the AI models behind some features, such as answering questions about a property or area. When you use these features, the relevant content is sent to Anthropic to generate a response. It is not used to train their models.
- Sentry — receives crash and error reports so we can fix problems.
- TravelTime — calculates journey times between locations. It receives locations, not your name or account.
- Ideal Postcodes — looks up addresses from postcodes you enter.
- Apple and Google — deliver push notifications and handle in-app purchases.
- Cloudflare — hosts this website.
We share your vault with the members of your household you invite, and with nobody else unless you ask us to or the law requires it. We never sell your personal data.
International transfers
Your vault is stored in the UK. Some of our providers (such as Anthropic and Sentry) process data in the United States. Where that happens we rely on the UK's adequacy regulations or the UK International Data Transfer Addendum to protect your data.
How long we keep it
We keep your data for as long as you have an account. If you delete your account, we delete your vault and the personal data in it within 30 days, except where we must keep records for longer by law (such as purchase records for tax). Crash reports are kept for up to 90 days.
Your rights
You have the right to:
- get a copy of the personal data we hold about you;
- have inaccurate data corrected;
- have your data deleted, including deleting your account;
- object to, or ask us to restrict, how we use your data;
- receive your data in a portable format.
To use any of these rights, or to delete your account, email [email protected] from the address you sign in with. We'll respond within one month.
If you're unhappy with how we've handled your data, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk.
Children
PropertyVault is for adults. You must be 18 or over to create an account. Where a household tells us about its children, we hold only a first name (or a placeholder) and a birth month and year. That data is deleted along with the household.
This website
propertyvault.co.uk does not use cookies, analytics or tracking. Cloudflare may process your IP address to serve the site and protect it from attacks.
Changes to this policy
If we make significant changes, we'll let you know in the app before they take effect. The date at the top of this page shows when it was last updated.
